This Privacy Policy explains how Number Crunchers LLC ("Number Crunchers," "we," "us," or "our") collects, uses, shares, and protects information when you visit numbercrunchers.co or use any of the pages, features, or services we make available through it (collectively, the "Service").

The most important thing to know: our Service is a matchmaking directory. When you submit a form on the Service, we share the information in your submission with one or more independent bookkeeping professionals ("Pros") so they can contact you about their services. This is the core purpose of the Service. Section 4 explains this in detail.

This Privacy Policy is incorporated into our Terms of Service. By using the Service, you agree to the collection, use, and sharing of your information as described here.


1. Who This Policy Applies To

This Privacy Policy applies to information we collect from and about:

  • Visitors — U.S. small-business owners and operators who browse our directory, take our quiz, submit lead capture forms, or book consultations through the Service.
  • Pros — bookkeeping and accounting professionals whose profiles appear on the Service. Pros sign up through our separate platform, Booked By Friday (bookedbyfriday.com), which has its own privacy policy. This Privacy Policy addresses Pros only with respect to information we display about them on numbercrunchers.co.

The Service is intended for users located in the United States. It is not directed to individuals under 18 and not directed to individuals outside the United States.

2. Information We Collect

2.1 Information You Provide Directly

Through the quiz (/quiz): When you complete our diagnostic quiz, we collect your responses about your business and its finances — for example, business type, revenue range, bookkeeping status, and related details. At the end of the quiz, we collect your name, email address, phone number, and business name.

Through our lead capture form: Our site-wide capture form collects your email address, along with information about which page you were on when you submitted.

Through the booking flow (/book): When you book a consultation with a specific Pro, we collect your name, email address, phone number, your selected meeting time, and any notes or context you provide about your business.

2.2 Information We Collect Automatically

When you visit the Service, we and our analytics providers automatically collect certain information, including:

  • Device and browser information: your IP address (often truncated by our analytics provider), browser type and version, operating system, device type, approximate geographic location derived from your IP address, and language preferences.
  • Usage information: pages you visit, links you click, time spent on pages, referring and exit pages, and other interactions with the Service.
  • Session replay data: our analytics provider (PostHog) may record session replays of visitor interactions, which can include cursor movements, clicks, scrolls, and keystrokes. We use session replays to diagnose issues and improve the Service.
  • Attribution data: the UTM parameters attached to the URL you use to reach the Service (utm_source, utm_medium, utm_campaign, etc.), the referring URL, and the landing page. This information is attached to any form submissions you make so we can measure which marketing channels are working.
  • Cookies and similar technologies: see Section 7.

2.3 Information We Do Not Collect

We do not collect payment card information or other financial account information from Visitors. We do not require you to create an account. We do not knowingly collect information from children under 18.

3. How We Use Information

We use the information we collect for the following purposes:

  • To provide the matching Service: routing your quiz, lead, or booking submissions to one or more Pros in our network who may contact you about their services.
  • To schedule and manage meetings: creating calendar invitations on Pros' calendars, sending you confirmations and reminders by email and SMS, and managing rescheduling or cancellations.
  • To communicate with you: sending transactional emails and SMS messages related to your use of the Service, responding to your inquiries, and sending service-related announcements.
  • To measure marketing performance: using attribution data to understand which channels and campaigns bring Visitors to the Service.
  • To analyze and improve the Service: using analytics and session replay data to understand how Visitors interact with the Service, diagnose problems, and improve our content and user experience.
  • To maintain security and prevent abuse: detecting and preventing fraud, spam, scraping, abuse, and violations of our Terms of Service.
  • To comply with legal obligations: responding to lawful requests from public authorities, enforcing our Terms, and protecting our rights and the rights of others.

4. How We Share Information — Including the Core Disclosure

4.1 Sharing With Pros (Core Service Function)

When you submit the quiz, a lead capture form, or a booking request, we share the information in your submission with one or more Pros listed in our directory. Pros receive information reasonably necessary to contact you and prepare for your engagement, which typically includes your name, email address, phone number, business name, and the business and finance details you provided in your submission.

Pros are independent third parties, not our employees or agents. Once a Pro receives your information, the Pro's use of that information is governed by the Pro's own privacy practices and by any engagement agreement you enter into with the Pro. We are not responsible for what a Pro does with your information after we share it with them. If you want a Pro to stop contacting you, you should tell the Pro directly, and you can also contact us at help@numbercrunchers.co to request that we remove you from further matches.

4.2 Sharing With Service Providers

We share information with third-party service providers that help us operate the Service. These providers are contractually restricted to using the information only to perform services for us. Our current service providers include:

4.3 Legal and Protective Disclosures

We may disclose information when we believe in good faith that disclosure is necessary to (a) comply with applicable law, regulation, legal process, or governmental request; (b) enforce our Terms of Service or investigate suspected violations; (c) detect, prevent, or address fraud, security, or technical issues; or (d) protect the rights, property, or safety of Number Crunchers, our users, or others.

4.4 Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or a portion of our assets, information we have collected may be transferred as part of that transaction. We will notify you of any such transfer in accordance with applicable law.

4.5 With Your Consent

We may share your information for any other purpose with your consent.

4.6 What We Do Not Do

We do not sell your personal information for money. For the purposes of certain state privacy laws (including California's CCPA/CPRA), we may "share" your information with Pros for purposes that could be considered cross-context behavioral advertising or targeted advertising. See Section 8 for your rights to opt out.

5. Email Communications

When you submit a form on the Service, you may receive transactional emails from us or on behalf of a matched Pro — for example, submission confirmations, meeting invitations, and meeting reminders. You may also receive occasional service-related announcements.

We may also send marketing or informational email to contacts who have submitted forms on the Service. Every marketing email we send includes an unsubscribe link. You can also opt out of marketing email at any time by emailing help@numbercrunchers.co. Even if you opt out of marketing email, we may continue to send transactional and service-related messages.

6. SMS / Text Message Communications

We use SMS to send meeting reminders and confirmations. By providing your phone number on the Service and affirmatively consenting at the point of collection, you agree that we and our service providers may send you SMS messages related to your use of the Service, including meeting confirmations, reminders, and scheduling updates. Message and data rates may apply. Message frequency varies. Consent to receive SMS is not a condition of purchasing anything from us (the Service is free in any event).

You can stop receiving SMS from us at any time by replying STOP to any message you receive from us. You can reply HELP for help. If you need additional assistance, contact help@numbercrunchers.co.

7. Cookies and Similar Technologies

We and our analytics providers use cookies, local storage, and similar technologies on the Service. These technologies help us:

  • Keep the Service functioning (for example, maintaining session state and form progress);
  • Measure how the Service is used and how well it performs;
  • Record session replays to improve user experience; and
  • Measure the effectiveness of our marketing campaigns.

Most browsers allow you to control cookies through their settings, including blocking or deleting them. Blocking some cookies may affect the functionality of the Service. If we are required by applicable law to provide a cookie consent banner or preference center, we will do so.

8. Your Privacy Rights

Depending on where you live, you may have the following rights regarding personal information we hold about you. The specific rights available depend on your state of residence and the applicable law.

8.1 California Residents (CCPA/CPRA)

If you are a California resident, you have the right to:

  • Know what personal information we collect, use, disclose, and "share" about you;
  • Access a copy of the personal information we hold about you;
  • Correct inaccurate personal information;
  • Delete personal information we hold about you, subject to certain exceptions;
  • Opt out of the sale or sharing of your personal information. We do not sell personal information for money. We may "share" personal information for cross-context behavioral advertising purposes, and you have the right to opt out of that sharing; and
  • Limit the use of sensitive personal information, where applicable.

To exercise any of these rights, email privacy@numbercrunchers.co or use the "Do Not Sell or Share My Personal Information" link in our site footer. You may also designate an authorized agent to make a request on your behalf; we may require verification of the agent's authority and your identity.

We will not discriminate against you for exercising your privacy rights.

Categories of personal information we collect and share. In the 12 months preceding the date of this Privacy Policy, we have collected the following categories of personal information as defined by the CCPA/CPRA: identifiers (name, email, phone, IP address); commercial information (business and finance details submitted in the quiz); internet or other electronic network activity (usage data, analytics, session replay); geolocation data (approximate, derived from IP); and professional or employment-related information (business role). We share the categories of identifiers, commercial information, and professional/employment information with Pros as described in Section 4.1, and with the service providers described in Section 4.2.

8.2 Residents of Other States

Residents of states with comprehensive privacy laws — including Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and others — may have similar rights to access, correct, delete, and opt out of certain processing of their personal information. To exercise these rights, email privacy@numbercrunchers.co. We will respond within the time period required by applicable law.

8.3 Verification and Response Time

To protect your information, we may need to verify your identity before responding to a rights request. Verification usually involves confirming the email address or phone number associated with your submissions. We will respond within 45 days of receiving a verified request, subject to any extensions permitted by law.

9. Data Retention

We retain personal information for as long as necessary to provide the Service and for the purposes described in this Privacy Policy, including to comply with our legal obligations, resolve disputes, enforce our agreements, and maintain business records.

Specific retention practices:

  • Lead and booking submissions: retained for up to 24 months after your last interaction with the Service, after which we delete or de-identify the record unless a longer retention period is required by law or necessary to resolve a dispute or enforce our agreements.
  • Session replay recordings: retained by our analytics provider for up to 30 days and then automatically deleted.
  • Analytics event data (page views, clicks, and similar usage signals): retained for up to 13 months and then deleted or aggregated into non-identifiable form.
  • Transactional email and SMS logs: retained by our communications providers for up to 12 months for deliverability and audit purposes, then deleted in accordance with their data retention policies.

You can request deletion of your personal information at any time under Section 8, subject to the exceptions described there.

10. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These safeguards include encryption in transit, access controls, and monitoring. However, no method of transmission or storage is completely secure, and we cannot guarantee the absolute security of your information.

If you have reason to believe your interaction with us is no longer secure, or if you believe a security incident has affected your information, please contact us immediately at privacy@numbercrunchers.co.

11. Children's Privacy

The Service is not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe a child under 18 has provided us with personal information, please contact us at privacy@numbercrunchers.co and we will take steps to delete the information.

12. International Users

The Service is operated from the United States and is intended for users in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored in, and processed in the United States, which may have data protection laws different from those of your country. By using the Service from outside the United States, you consent to the transfer and processing of your information in the United States.

We do not direct the Service to residents of the European Economic Area, the United Kingdom, or other non-U.S. jurisdictions, and we do not intend to offer the Service to those residents. If you believe we hold personal information about you and you are located outside the United States, contact us at privacy@numbercrunchers.co and we will address your request in accordance with applicable law.

13. Third-Party Websites

The Service contains links to third-party websites, including Pro websites, social media platforms, and other resources. This Privacy Policy does not apply to third-party websites. We encourage you to review the privacy policies of any third-party websites you visit.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by updating the "Last Updated" date at the top of this Policy and, where appropriate, by posting a prominent notice on the Service or notifying you by email. Your continued use of the Service after the effective date of the updated Policy constitutes your acceptance of it.
